Austin Parks Foundation is seeking 3 Summer Interns to assist with special events, marketing and programs. All internships are part-time, paid positions, and college credit is highly encouraged. Events Intern

Reports to: Marketing Manager
Part-Time; Paid

Job Description

Austin Parks Foundation (APF) is seeking a highly organized and detail-oriented intern to assist with the execution of APF special events, 3rd party event partnerships and to support annual fundraising campaigns.

The position will require strong organization and impeccable attention to detail. The ideal candidate will thrive in a busy, fast-paced environment, and will be comfortable taking on new responsibilities as they are assigned. Flexibility, enthusiasm, excellent interpersonal skills and the ability to work well with all levels of staff are also required.

Essential Functions

Party for the Parks

  • Assist with deadline tracking through Basecamp and ensure internal and external partners are held accountable (with support from Marketing & Development staff)
  • Contact and follow up with in-kind donor prospects (especially silent and live auction donors)
  • Track RSVPs, assist with name tags, organize and follow up for guest names (with support from Development & Marketing Staff) and assist with event registration planning

Movies in the Park

  • Coordinate on-site presence of vendors such as food trucks and sponsors/partners, including intake, set-up, break down, pre-event communications, and liaising between development and marketing departments to ensure proper sponsor recognition
  • Connect with the City of Austin Parks & Recreation Dept. for proper permits, and be on site to greet and place food trucks
  • Recruit volunteers (in partnership with Community Engagement Manager) for various positions as needed
  • Assist in communications including timelines, calendars, reports, site maps and post-event surveys
  • Assist in on-site event execution to include set up, break-down and customer engagement/email collection at APF booth 
  • Create and send pre-show content to Alamo Drafthouse Staff
  • Work closely with APF’s Marketing Intern to build plan for marketing, communications and social media outreach

3rd Party Events

  • Assist APF staff and volunteers during 3rd party events such as ACL Music Festival, Trail of Lights, Dell Technologies Match Play, Cap10K, etc.
  • Gather and distribute supplies for day-of execution of 3rd party events such as ipads, marketing materials, staff assignments and directions, etc.
  • Work closely with APF’s Marketing Intern to build plan for marketing, communications and social media outreach in order to achieve event goals
  • Assist with deadline tracking through Basecamp and ensure internal and external partners are held accountable (with support from Marketing & Development staff)
  • Assist Event Coordinator with corporate cause marketing events (past examples include: Whole Foods 5% Day, Chipotle 25th Anniversary Giveback Day, Outdoor Voices Giveback Night)
  • Perform other duties as assigned

Marketing Intern

Job Description

Austin Parks Foundation (APF) is seeking a highly organized and detail-oriented intern to drive content creation and assist with APF’s digital presence.

The position will require strong organization and impeccable attention to detail. The ideal candidate will thrive in a busy, fast-paced environment, and will be comfortable taking on new responsibilities as they are assigned. Flexibility, enthusiasm, excellent interpersonal skills and exemplary writing abilities are also required.

Essential Functions

Content Creation & Planning

  • Research, draft and schedule social media posts across APF Twitter, Facebook and Instagram profiles to support programmatic and event-driven campaigns
  • Draft strategy for APF instagram stories and FB live, and implement. Plan to include goals and milestones
  • Research, write and schedule evergreen content options for APF blog, and social media accounts including Project Playback series (with support from APF programs team)
  • Maintain and update APF web pages including APF event calendar and park database
  • Assist with new website content implementation and clean up

Analytics & Campaigns  

  • Assist with APF email campaign metrics and reports
  • Build customer service surveys, analyze results and create post-event reports
  • Research and implement best practices for Google Adwords and website SEO
  • Assist Marketing Manager and Development Operations Manager in syncing data between systems for email campaigns and appeals

Merchandising

  • Assist Marketing Manager with e-commerce store setup including product images and inventory management

Programs Intern

Job Description

Austin Parks Foundation (APF) is seeking a highly organized and detail-oriented intern to support the programs team with a range of administrative tasks, community outreach and volunteer program support.

The position will require strong organization and impeccable attention to detail. The ideal candidate will thrive in a busy, fast-paced environment, and will be comfortable taking on new responsibilities as they are assigned. Flexibility, enthusiasm, excellent interpersonal and organizational skills are also required.

Essential Functions

Community Outreach

  • Provide support for selected presentations at neighborhood meetings
  • Support for tabling and community events
  • Fill in flyer templates and distribute around neighborhoods before monthly work days at unadopted parks
  • Respond to outreach inquiries
  • Distribute/collect Adopt-A-Park signs at unadopted parks
  • Support staff at block walking events

Other Programs Support Functions as needed

  • Support Programs Coordinator with preparing materials and updating paperwork during the grant selection process
  • Assist with grants & advocacy workshops, and prep materials for meetings with council members
  • Support Volunteer Manager in creating projects in GivePulse (volunteer management platform), and in creating volunteer project forms to submit to the Parks and Recreation Department

  • Access to smart phone to utilize APF’s call routing app
  • Ability to pass a driving background check (to operate APF’s vehicle for outreach activities) and reliable transportation (when APF vehicle is unavailable)
  • Interest in non-profit industry

Preferred Qualifications

  • Environmental Studies, Public Health, Communications or Sustainability Studies major
  • Experience working/volunteering in non-profit industry
  • Fluency in Spanish

Volunteer Coordinator

Reports to:  Community Engagement Manager
Full Time (Salaried); Exempt  

Austin Parks Foundation (APF) improves the quality of life for people in Austin and Travis County by addressing the city’s funding and resource gap in order to develop, maintain and enhance the area’s 300+ parks, trails and green spaces.

The Austin Parks Foundation Volunteer Coordinator will facilitate projects with volunteer groups throughout the year, including APF’s two largest annual signature events, It’s My Park Day Spring and Fall, as well as monthly open-to-the-public volunteer workdays and workdays for corporate and service groups.

Responsibilities

  • Coordinates all volunteer park workdays, including monthly volunteer days, corporate workdays, and projects related to city-wide days of service
  • Coordinates projects for It’s My Park Day Spring and Fall; supports Community Engagement Manager as needed
  • Assists Community Engagement Manager in recruitment, retention, and appreciation activities as assigned
  • Manages APF’s tool warehouse inventory; purchases replacement tools
  • Responsible for hiring, training, and supervising part-time/temporary paid Project Leaders
  • Maintains strong relationships with City of Austin Parks & Recreation Department and Watershed Protection Department staff
  • Additional duties as assigned

Skills & Experience

  • Bachelor’s degree in a related field (or equivalent work experience); minimum 2 years experience in volunteer coordination
  • Ability to operate a truck and maneuver a ten foot dump-trailer
  • Excellent communications, organizational, interpersonal and relationship-building skills
  • Experience utilizing CRM database and/or volunteer management platforms
  • Trustworthy and dependable
  • Confidence speaking to a diverse group of constituents and to large groups
  • Proficiency in Google Drive and Microsoft Office products on Apple computers

Preferred Qualifications

  • Bilingual in English and Spanish

Physical Requirements

  • Sitting or standing at a desk, operating a computer
  • Able to function in an indoor office setting, as well as outdoor environments
  • Able to lift up to 30 lbs, and walk on uneven surfaces for extended periods of time
  • Some weekend work required, occasional evenings
